13x19 print exchange

To all participants:

This is just a quick note before the holidays. The print submission 
date is 2/1/2002. Please start to forward me print information: (1) 
title (2) paper media, (3) inkset, (4) printer/workflow, (5) image 
details. I will compile, and forward to all participants.

I have not found a box-within-a-box solution for shipment. The best 
shipping boxes I have found are those that Epson (other suppliers?) 
sells their 13x19 papers in. So if prints are shipped in these boxes, 
I will re-use them for the return shipment. Just be sure to enclose a 
pre-paid shipping bill, or make a check payable to me. If latter, 
please make the check out for the sum it costs you for the original 
shipment. For protecting the images, plastic 13x19 envelopes can be 
found at: http://www.tssphoto.com/sp/dg/misc/envelopes.html.

Shilesh,  

I think your basic 13X19 Epson box is a great idea as there are only
11 prints involved.  I also want to suggest

Their acid free envelopes are the clearest I've seen.  No need to
remove the prints from them.

Maybe we should set up a 13X19 group list to handle these details.  I
don't check this list every day and I don't want to miss any of the
"exchanges" communication.

Go to the group web page (there should be a link at the bottom of each 
message, including this one).  In the upper right of the page is a link 
"Start a Group".  Click on it and go from there.

James has an interesting idea.  I was simply going to suggest 
going to your email software package and making a mailing list.  
I use Outlook or Hotmail.

OTOH, there are so many details to doing a print exchange, why 
ask you to add one more?  Simply use this list (if no one 
complains) and I'll try to keep up with your postings.

Hi Shilesh and other 13X19 Print Exchange participants,

I'm putting my images together today and just want to see that 
everyone is on the same page.

I am making 10 copies of one image with a brief description on a 
seperate sheet to be enclosed within the clear sleeve of each signed 
print.  The print exchange can accomodate 11 people as I do not need 
to get my own print sent back to me.

I am also including a gift print for Shilesh as a thank you for all 
the work to get this exchange happening.

I am using an Epson EAM 50 sheet box to mail the prints in.  This will 
be the same box as Shilesh is going to return the exchange prints in.

I am including a shipping label and return postage in the box so 
Shilesh does not have to rewrite my address.

If anyone has any other suggestions post them soon.  I hope to mail 
this out before the new year.

Frank-

You are right on with my understanding... I have to reprint 2 of mine 
and won't be home for a week to do it, so you will be the first in 
<g>..

Shilesh had also posted a messages asking that we email in advance 
the details of our prints... Though I think that isn't really 
necessary with the sheet you are enclosing in the sleeve.

13x19 print exchange

Hello all,

I have received the prints from Frank Ward - thank you Frank! He used 
a clear sleeve for each print, and enclosed a sheet with description 
in each. The whole was shipped in an Epson Archival Matte box. 
Although the box was a little gnarly from the shipping, the images 
were perfectly protected. I definitely recommend this method.

Please let me know if any of you will have problems meeting the 2/1 
deadline. Otherwise, keep the prints coming.

I'm glad you got the box.  I too was worried about the sturdiness of
shipping the Epson box.  I just sent prints off to another listmember
in Germany and reinforced everything with sheets of corrugated
cardboard taped around the box.  That seemed alot safer.  

Seeing that these boxes have to travel two ways, maybe we can protect
the Epson box by another layer of cardboard around it on the initial
shipping of prints to you. Then you can dispose of the outer layer and
just use the original box for one way return mail.

I also hope that the address label with the stamps already on it will
be easy for you.

any reason that would be a problem?

Chris,

Tube mailers sound like a good idea. I don't personally have 
experience with using them for inkjet prints. I wonder, however, if 
coated papers printed with pigment inks can withstand the rolling up
(?). I know some papers can flake quite easily. I feel this should 
not be an issue, but just wanted to bring it up, just in case someone 
else has any experience.

Hi Chris,

Anyone who sends in prints in nice sleeves which are bonded on three sides
will buckle when rolling. I recently took part in a 16*20 print exchange -
and I'd recommend the Light Impressions transit cases - anyone in the UK
will pay the earth to get them over... IMHO, anyone in the States has no
excuse!

And Shilesh, I would strongly recommend that you 'enforce' sleeved prints
with an info sheet facing outwards on the back of the print - it will make
your job a LOT easier - I recently coordinated a ten-print A4/Letter size
exchange - you won't believe the amount of space even that 'simple' sorting
exercise took up - remembering you have to keep track of who used what box
and which postage and... (and that was with an exchange where all entries
were sleeved.

BE NICE to your exchange coordinator... and sleeve and identify your
prints!!!

Nij, try www.silverprint.co.uk for alternatives. I used a silverprint
transit box to bring my prints to you last trip - you have them in one of
their 'cheapy' archival storage boxes.

Call me a sap... Here I am just mailing out my first prints for an 
exchange, so what do I know??? But I'm totally energized by the 
concept... Combines technology, photograph and the best of the 
internet community fellowship... 

I know I'll wish I didn't, but if you all can give me some advice (as 
you will anyway) about how to run a good exchange, I'll raise my hand 
and coordinate one.

A few thoughts... should we go for some kind of theme? Or just let it 
fall where it may? What size is optimum? The 19x13 is a bit of a 
problem... Takes forever to print and sorting would be a nightmare 
for much over 12 participants... BTW, what is the consensus on ideal 
size for the group?

Tom,

I am with you about being energized. I felt the same when I sent out 
my 31 prints to the Scott Hendershot exchange, and when I received 
Frank Ward's images for the 13x19 exchange.

Although come-what-may has an element of the unknown/surprise to it, 
I like the idea of a theme-based print exchange. Landscape, 
Portrait,  and Architecture are themes that come readily to mind - 
but no doubt others too. Much as I am looking forward to receiving 
all the prints for the 13x19 exchange, I believe 8.5x11 (or European 
equivalent) is the easiest to handle/print. But if you are 
coordinating an exchange, it is all your call. Good luck.

Print exchanges are great - but I'd wait for the dust to settle on this one
before you start up another! Exchanges are GREAT things to take part in -
but I sometimes wonder if there can be too many ;)  Perhaps I am just
frustrated that I can't take part in them all?

Anyway, in the Files seciton of this group is an email recommendation from
Jason DeFontes who coordinated three parallel exchanges and lived to tell
the tale... just. Frankly, he must have had a nightmare. Please hunt down
that file and read-up. It will make the participant's and coordinator's life
A LOT easier.

rules of the exchange - key factors are print / paper size, packaging,
return postage, etc etc. Only one person has to send prints in that are too
large for Everyone else's packaging to be screwed - unless you kick them out
;) I think you do need to allow a little more coordination time for
international participants, but I would have thought that same-nationality
participants would have no problem providing an self-addressed return
envelope with stamps on already, for example. I dunno - it IS unrealistic to
have to put 'no effort' in as coordinator, but you will already have enough
to do in getting round to arrangements, setting the participant list,
confirming all details to all participant, reminder and chasing emails blah
blah blah!!!

I have no real 'complaints' about the exchange I coordinated (and it was
tiny comapred to the ones some have done!) but I would say that decent
packaging both protective yet conveniently set up for return trip is the
ideal to look for.

I would suggest that the next exchange takes a very specific form - you
could be extremely arbitrary if you wanted and say 'cool tone MIS VM prints
only on 13*19' for example. I only say this because I think it is nice to
encourage either extreme expertise (i.e. people who do that sort of thing
already participate) and 'learning' (get people to try something they do NOT
normally do) to come together.

Mike Kravit's is currently running a Piezo Pro24 16*20 exchange for 21
people - it would be interesting to hear his views on this whole thing once
he's done - I seriously would not have enough room in my whole flat to lay
21 20*16 boxes on the floor!!!

Hi Tom, Shilesh and potential exchange participants,

First, sign me up for your future, as yet undefined, print 
exchange.  Just in case I am out to lunch when you post and it 
fills up fast.  Second, I would suggest to stay away from a theme 
based exchange.

I have an undesigned, but nevertheless posted, website for a 
group of Massachusetts photographers.

I started sponsoring theme shows on it every few months.  The 
first was called "Suppertime" and I asked local photographers to 
send in food related images.  That went fairly well.

The second is "The Music Show" and is about music related 
images(doh!).  Anyway,  we all have what we do best and in fact 
may have very little sympatico with other realms of photography.  
This is especially true with "the music show" images.  Anybody 
who ever took a picture at a concert started sending me photos.  
These folks who participate in photolunch.com are professional 
and fine art photographers, but it is a sloppy pile of jpegs in that 
show.

The point is to avoid limiting what people can do.  Just let them 
do what they do best.

You're right about that. I'm alive and well, but I haven't had the energy
for another exchange since that experience.

I think this is an idea whose time has come. One of the cool things about
the exchanges has been the variety of the participants' work, but I think it
would be really nice to see an exchange that was more focused. I think a
self-portrait exchange would be REALLY interesting for example. And, of
course, I'd like to see an exchange for people who are using quads, etc. for
non-photographic work. But I think any kind of theme or genre that the
organizer wanted to do would be an interesting new twist. I think, like you
said, it might help to bring out some people who haven't participated yet.
And I'm sure that we'd all be surprised by the variety even within such a
limited exchange.

Best of luck to anyone who decides to organizer another one. I may even have
recovered enough to particpate again (although it will be a while before I
volunteer to organize one ;-).

Thanks for the input. I have a few specific questions for you:

1. What is the availability of Fedex in Europe? I am thinking of 
making it a "fedex" only since I have such easy access to fedex 
(airborne would be a compromise alternative). Is the cost fair? It 
looked to me that Fedex to Shilesh was about double the cost of 
postage, but 1/10th the hassle.
2. I am intending to require a return prepaid fedex sticker. I did 
this on my prints to you, Shilesh, and I found that to make that 
happen one either had to put his/her credit card info on the address 
label or open a fedex account (took 2 minutes and costs nothing, 
allows you to print shipping labels on the internet for a 10% 
discount and then drop in any fedex box).
3. I'm thinking letter/A4 prints...has anyone decided there is or 
isn't a simple box that holds each? Jason, you mentioned the fedex 
boxes, can you confirm they hold either/both sizes nicely? Do you 
happen to know the box description (to avoid any confusion)?

Tom,

I would discourage trying to put a lot of rigid constraints on the exchange
for two reasons:

First, you may be eliminating people who would otherwise like to
participate. Not everyone lives in an urban area where FedEx drops are
easily accessible. For some people, the nearest place to ship anything will
be something like their local Piggly Wiggly (hi Jerry!) and who knows how
far or how much snow they'll have to drive through to get there. I think
strongly reccomending something is fine, but if it was me, I would want to
be flexible enough to make sure everyone who wanted to could participate. It
has been firmly established, however, that I am a sucker.

Second, you're kidding yourself if you think people are actually going to do
what you ask, even if you make it required. Human nature is a funny thing,
even people with the best intentions will misread something or simply miss
it completely. Being prepared for deviation from the outset is probably the
best thing for your sanity.

As far as the packaging goes, small FedEx boxes fit letter and A4 just fine,
but they dont fit securely. There's too much wiggle room for the prints to
move around and get damaged unless they're secured with some kind of inner
packing. This is where the standard issue boxes that your paper comes in
will fail you, because A4 doesn't fit in a letter sized box and vice versa.
They seem like a great idea when you're sending your prints in, because
you've got a pile of them laying around, but if you use them then the
coordinator winds up getting screwed. For everyone that used a standard
paper box for the inner box, I wound up putting all the prints in a plastic
bag, and securing it with tape so it was tight and the prints couldn't move
around. Then I cut cardboard sheets that were bigger all around than the
prints, but just small enough to fit inside the small FedEx boxes. I taped
the plastic wrapped prints between two sheets of cardboard so the prints
wouldn't slide around and the cardboard could absorb some minor impacts
without the prints getting damaged. I think a few people managed to find
boxes that made effective inner packing and fit both sizes of prints, but I
don't remember anything that looked like it was readily available or cheap.

You're right about FedEx being by far the most convienent though.

OK, I'll probably wind up a sucker myself... But would like to think 
I might be able to come up with some very painless process and be 
able to conduct one of these exchanges quite regularly (at least get 
it hassle-free enough to do more than one...shame to start a process 
anew each time...)

fedex (or other non-postal), how can a sender (other than USA) send a 
shipping label and postage (so I can just drop these off at a post 
office or shipping point)?

It sounds like this won't be possible... I'm trying to avoid trips to 
the post office lines at all costs.

I found that opening a fedex account was simple, free and charges to 
your credit card... And you print the label on their website and get 
a 10% discount and then drop the package in any drop box (no wait).

Guess I'll just try doing one and see how many people can use fedex 
and how much of a problem it all is... I'm game, if nothing else <g>.

Tom,

UPS also has an online setup like FedEx where you can print labels, etc. Of
the international packages I received, they were either FedEx, or were done
"manually", i.e. money in the box, stand in line for postage. I never
actually figured it out, but I think in the end I probably wound up putting
some of my own money in to cover all the postage. My biggest concern was
seeing it happen, and making sure everyone could participate, so I wasn't
too worried about it.

I think the best thing you can do is strongly recommend FedEx, and people
who use anything else will be subject to having their package delayed until
you get a free afternoon when you feel like standing in line. If I had it to
do over again I would have sent the return packages in order of how easy it
was for me to deal with them. That way the people who follow the directions
the best get their packages first, and the more difficult ones are
"penalized". I definitely think it's worth asking people to do as much of
the work for you as they can.

a print exchange is a temporary group that agrees to send each other 
one print, in exchange for one from each of the other participants. 
Someone acts as a co-ordinator, accepting all of the prints from 
everyone, sorting them, then sending them back out. I have 
participated in a few from here in Düsseldorf, Bernd Langmack has 
from Essen. 

The number participating is usually limited to thirty or less, and in 
the past, the slots have filled quickly.

I've never sorted out the options for sending to the US via FedEx or 
UPS, or what that would mean with duty and VAT coming back, as those 
carriers usually charge that as well and settle with the customs. I 
assume if they were marked "gift" or had a small nominal value, there 
wouldn't be a fee... don't know. I'm one of the dogs that drives to 
co-ordinators mad, and to the post.

Sorry if offering another one offends you. It has been my impression 
that demand exceeded availability as far as exchanges go. The present 
one is limited to 19x13 and as far as I know was always scheduled to 
be 10 participants and end Feb. 1.

I guess it will be a bad idea if no one signs up and I will stand 
corrected.

Just for the info, how often and how large do you feel exchanges 
should be and offered?
